Max Healthcare is one of India’s leading healthcare providers, operating multiple hospitals and diagnostic centres across the country. With a large and dynamic workforce, including doctors, nurses, and administrative staff, the organization frequently manages onboarding and offboarding across units.
Each employee requires timely access to critical systems such as patient record systems, hospital operations platforms, e-prescription tools, and lab management systems to perform their tasks effectively.
The goal of automating employee onboarding and offboarding process was to reduce turnaround time (TAT) for access provisioning and revocation while ensuring security and compliance.
The Challenge
Max Healthcare handles ~70 onboarding/offboarding requests daily, each requiring access provisioning or revocation across 8 different applications.
A new employee often had to wait up to 7 days to receive system access. Similarly, delays in revoking access during employee exits posed security and compliance risks.
With ~10 FTEs manually handling requests across multiple systems, the process was slow and frequently caused delays.
The Solution
Max Healthcare implemented an RPA solution to automate the end-to-end onboarding and offboarding process.
The bot was scheduled to run twice daily, capturing access requests and processing them using predefined role-to-access mappings.
Based on these rules, the solution:
- Creates and configures user access across 8 systems during onboarding
- Revokes access across all systems during offboarding
Access decisions are standardized through rule-based mappings, ensuring consistent and accurate permission assignment.
The entire process, from request intake to execution and closure, is handled as a single automated workflow, eliminating delays and reducing TAT.
The Outcomes
Same-day access provisioning: Reduced onboarding TAT from 7 days to the same day.
2,500+ hours saved annually: Manual effort reduced from ~257 hours/month to ~40–45 hours/month, significantly lowering IT workload.
